We’ve glorified productivity theater and forgotten that we’re still… you know… biological beings. Here’s what this looks like in real life:
📊 You’re expected to churn out a PowerPoint for something that could’ve been a Teams Chat thread.
🧠 Your calendar is booked from 9:00 to 18:00, but somehow, you’re “late” if you disappear for 6 minutes.
🕒 Teams meetings run straight into each other, like there’s no such thing as digestion or daylight.
This is not agility. This is corporate dysfunction disguised as hustle.
It’s time we shift from “calendar domination” to calendar optimization — and yes, we already have the tools.
💡 Fixes you can roll out TODAY (especially if you’re on Microsoft 365):
1. Shorten meetings by default via Outlook Policy Instead of 30 or 60-minute blocks, default to 25 or 50 mins. Build breathing room in by design, not as an afterthought.

2. Enforce Focus Time with Viva Insights Let your calendar defend your attention. Viva Insights can automatically book focus time and help you protect it.

3. Respect time zones and local customs Stop booking Dutch lunches over Spanish siestas. Outlook lets you overlay time zones and adjust intelligently.
4. Enable calendar sharing across M365 tenants If your partners can’t see your availability, they will book over it. Federate your calendars across tenants.

5. Make Monday -or- Friday meeting-free — by policy Yes, you can set this org-wide. It’s called “no meeting Mondays”, or — you guessed it: “no meeting Fridays” and it works wonders for deep work and sanity. Give it a try!
🔁 Culture eats tooling for breakfast
You can configure every policy above, but if the culture still glorifies “calendar heroism,” nothing changes.
So here’s my proposal:
💬 Start questioning meetings: “Could this be a Teams chat, a shared doc, or even a 5-minute async voice note?”
📅 Block your bio time like it’s sacred — because it really is.
🥇 Promote results, not presence.
